Records

i. You can view all the finalized records of a company by selecting “Records” from your
   Home screen.
ii. The “Records” section of a company contains all records pertaining to:
  1. Board Meetings
  2. Sub-Committee Meetings
  3. Shareholder Meetings 
  4. Circular Resolutions
  5. Action Trackers       
  6. Registers
  7. Returns
  8. Calendar Events  

The above mentioned records can be accessed depending on the rights granted to the user.

i.   From “My Portfolio” page, click “Records” of the company.
ii.   For every meeting you can see the Agenda, Board Doc, Signed Documents, Presentation and Individual Attachments. As a director you can comment or write you personal notes on those documents which has a pen icon on it.

Offline Viewing of Documents:

Once the document is viewed, the same document can be viewed in OFFLINE mode as well. This will help the user to access the already viewed documents in locations where there is limited or no internet connectivity.

To view the documents offline, turn the toggle to OFFLINE mode.

Annotation of documents:
i.             Double   click on the content to be annotated/highlighted to view the options


ii.  On the right-hand side of the annotator window, you will find   (if tap on the eye icon all the highlights on the document will be hidden and the user can see a clean document).
iii. Below which, you will find   . This icon is used for writing page notes and this note gets saved for the entire page.

iv.        When you annotate, you will find the below dialog box that opens up to key in the annotation notes

a.    The text to be annotated will be made available in the annotation section.
b.    Number of annotations that are connected to a particular document will be indicated.
c.   Name of the person who annotated can be seen by all users, if its published using “Post to Public” or seen by those who belong to a specific group, as a member of such group or annotations made one-one with such user. Access to annotations can be restricted to self  by selecting “Only me” option from the "Post To'" dropdown.
d.    Time elapsed after each individual post is made can be seen as additional info
e.    Tags can be added for searching the annotations. 

v. Search and Sort (by Newest/Oldest/Location) options are provided for easy identification of annotations made. Other guidelines to use the annotation feature to the fullest are also available in the “How to get started” section as can be seen in the image below



vi.  Records page will indicate the presence of all the public annotations by default, with total annotation count as superscript. Click on the arrow key against the ‘All’ option in the Panel to expand/ collapse the options available. Click on any particular group to view the public comments as a member of such group. Similarly, you may use the filter to view comments made by any individual by clicking on their name as shown below:


By default, the ‘All’ option is selected to view all public annotations.

You may also create your own custom groups using the ‘New Private Group’ option.
Enter the name and Description of the Group, click on the ‘Add member’ button and chose its members from the drop down. Click on the ‘x’ button to remove any members. Click on ‘Create Group’. This group will now appear as an option while posting any comments. 



After selecting the groups/individuals/ All option , click on Post button to publish the comment.

vii.  For each annotation, which pertains to a user as part of a group or individually, such users would get a push notification and a mail for them to act on it.

viii.    The user can also Edit or Delete their comments or reply to other comments.
